Question 5/105/10

Sales reps at Universal Containers (UC) complain about the manual activities they need to perform in
order to grant access to supporting internal users (legal, engineering, finance, and so forth) for
customer records when they need help. In general, the sales reps involved in the deals will not
change.
How can a Salesforce architect help IK to Improve sales reps productivity?

Select the answer:Select the answer

1 correct answer

Create a permission set with "view all data" and assign to supporting users.

Create a public group and replace the account ownership with it.

Create a criteria-based sharing rule to grant access to other users.

Leverage default Account team.

The correct answer is D. Leverage default Account team.
The problem describes a common scenario where sales reps need to repeatedly grant access to the same internal support people, such as legal, engineering, and finance, so those users can help with customer records. The key detail is that the sales reps involved in the deals generally do not change. That means the access pattern is relatively stable and repetitive.
Why D is correct:
A default Account Team lets Salesforce automatically add a predefined set of users and access levels to an account when a new account is created, or it can be used as a template for quickly adding the same team members to records. This reduces manual work for sales reps because they do not need to individually share records every time. Since the same supporting users are involved consistently, the default Account Team is a good fit for improving productivity and standardizing access.
Why the other options are not correct:
A. Create a permission set with "view all data" and assign to supporting users.
This would give far too much access. "View All Data" is a very powerful permission that ignores sharing and exposes all records, not just the specific customer records those supporting users need. It is not appropriate for least-privilege access and does not solve the requirement in a controlled way.
B. Create a public group and replace the account ownership with it.
Records in Salesforce are owned by users, not public groups. A public group can be used in sharing rules, but it cannot own records. So this is not a valid approach for replacing ownership.
C. Create a criteria-based sharing rule to grant access to other users.
A criteria-based sharing rule is useful when access can be determined by record criteria, such as account type, region, or status. However, this scenario is about specific internal support users helping on deals where the reps are mostly the same, and the question emphasizes avoiding manual activities. Sharing rules are broader and less targeted to the recurring team-based access need than account teams.
Why default Account Team fits best:
- It supports a repeatable set of internal collaborators
- It reduces manual sharing work for sales reps
- It standardizes access for the same people involved in deals
- It is specifically designed for collaboration around accounts and related records
In short, because the same support users are usually involved and the business wants to eliminate repeated manual sharing, default Account Team is the most efficient and appropriate solution.

Right Answer: D

Quiz

Question 6/106/10

Universal Containers would like to control access to records and objects according to the following
business requirements:• Sales users can view all Account records but only edit their own records.
• Sales managers view all Account records but only edit records of the team.
• Service users can view all Account records that are not marked with a RecordType of
Prospect.
Which organization-wide default configuration should a Salesforce architect recommend to fulfill
these requirements?

Select the answer:Select the answer

1 correct answer

Public Read Write

Private

Public tad Only

Public Read/Transfer

The correct answer is C. Public Read Only
The key idea is to choose the least permissive organization-wide default, then use roles, sharing, and ownership-based access to grant additional edit rights where needed.
Let’s break down the requirements:
1. Sales users can view all Account records but only edit their own records.
2. Sales managers can view all Account records but only edit records of their team.
3. Service users can view all Account records that are not marked with a RecordType of Prospect.
What this tells us:
- Everyone needs broad read access to Accounts.
- Edit access must be restricted based on ownership or team hierarchy.
- Some users need visibility into all records, but not full edit access.
- There is no requirement for everyone to edit all Accounts.
Why Public Read Only fits:
- Public Read Only makes all Account records visible to all users.
- Then Salesforce sharing and ownership rules can be used to allow editing only where appropriate:
- Sales users can edit their own records because record ownership grants them edit access.
- Sales managers can edit records owned by users below them in the role hierarchy.
- Service users can be given read access to only the needed Accounts through sharing rules or criteria-based sharing, while still starting from a read-only baseline.
Why the other options do not fit:
A. Public Read Write
- This would let all users edit all Account records.
- That violates the requirement that sales users can only edit their own records and managers only their team’s records.
B. Private
- This would restrict visibility too much.
- Users would not automatically be able to view all Account records as required.
D. Public Read/Transfer
- This is not a standard organization-wide default for Accounts.
- Even conceptually, it would not match the required access model.
Important note:
Although the requirement mentions service users should not see Accounts marked Prospect, OWD alone cannot handle record type-based visibility. That kind of restriction would need additional sharing or permission logic. The OWD should still be set to the most appropriate baseline, which is Public Read Only.
Final answer: C. Public Read Only

Right Answer: C

Question 8/108/10

Universal Containers (UC) has created a public group with certain Sales Engineers to help on complex
deals and a sharing rule to grant access to these opportunities. Opportunity OWD is private.
What is the impact of these sharing settings?

Select the answer:Select the answer

1 correct answer

Subordinates of Managers who have Sales Engineers in the public group will also have access to these records.

Sales Engineers that have a similar role of the Sales Engineers of the public group will also have access to these records.

Sales Engineers Managers and their managers in the role hierarchy will also have access to these records.

Sales Engineers direct reports will also have access to these records.

The correct answer is C.
Universal Containers has:
- A public group containing certain Sales Engineers
- A sharing rule that shares Opportunity records with that public group
- Opportunity organization-wide default (OWD) set to Private
What this means:
1. Private OWD means records are only visible to the owner and users above them in the role hierarchy, unless access is granted through sharing.
2. The sharing rule grants access to the specific public group, not to everyone with a similar title or role.
3. Public groups can include users, roles, roles and subordinates, or other groups. But in this case, the sharing is explicitly to the users in that group.
4. Once a user gets access through sharing, users above them in the role hierarchy also get access automatically, because role hierarchy access still applies for standard objects like Opportunities.
Why C is correct:
- The Sales Engineers in the public group get access through the sharing rule.
- Their managers and higher-level managers in the role hierarchy also get access, because Opportunity sharing respects role hierarchy access.
Why the other options are incorrect:
A. Subordinates of Managers who have Sales Engineers in the public group will also have access to these records.
- Incorrect. Sharing does not flow downward to subordinates.
B. Sales Engineers that have a similar role of the Sales Engineers of the public group will also have access to these records.
- Incorrect. Sharing to a public group does not automatically include users with a similar role unless they are explicitly in the group or included by role-based group membership.
D. Sales Engineers direct reports will also have access to these records.
- Incorrect. Access does not flow to direct reports through sharing rules; it flows upward through the role hierarchy, not downward.
Key takeaway:
With Opportunity OWD set to Private, a sharing rule to a public group grants access to the group members, and role hierarchy then extends access upward to managers. Therefore, C is the correct answer.

Right Answer: C
